Privacy Policy

This Privacy Policy explains how Readout (“Readout,” “we,” “us,” or “our”), operated by Allary, Inc., collects, uses, discloses, and protects information in connection with our website at readout.tech (the “Site”) and our dental account-intelligence service (the “Service”). By using the Site or Service, you agree to this Policy.

1Who this covers

This Policy applies to three groups of people whose information we may process:

• Customers and users — the businesses that subscribe to the Service and the individuals who use it on their behalf.
• Site visitors — people who browse readout.tech or contact us.
• Individuals referenced in account-intelligence data — people associated with the dental practices and organizations we profile (for example, practice owners, providers, and decision-makers), in their professional or business capacity.

2Information we collect

Account and contact information

When you express interest, start a pilot, or create an account, we collect information such as name, business email, company, role, and billing details. We collect what you send us when you contact sales or support.

Customer content and inputs

To produce results, you may provide context about what you sell, your target market, your ideal customer, your search queries, and CRM or workflow context (“Customer Data”). See “Your data stays yours.”

Usage and device information

We collect logs and metadata about how the Service is used — searches run, accounts unlocked, credits spent, pages viewed, timestamps, approximate location, IP address, browser, and device type — to operate, secure, and improve the Service.

Account-intelligence data about third parties

The core of the Service is a database of intelligence about dental practices and related organizations, compiled from public and permissioned sources. This may include business attributes (services, equipment signals, locations, ownership and corporate structure, growth signals) and, where relevant, information about individuals in their professional capacity — for example, a named practice owner or provider and their public professional details. This information describes businesses and roles, not consumers’ private lives.

3Where account-intelligence data comes from

We build account intelligence from sources such as:

• Publicly available clinic websites and web pages (services, technology, and provider pages);
• Public records, registries, filings, and licensing data;
• Publicly posted listings, reviews, hiring posts, and similar signals.

Current sources are public sources such as clinic websites, public pages, public records, registries, listings, hiring posts, and similar professional or business sources. If we later use licensed or permissioned third-party data providers, we will update this Policy and our subprocessor and source disclosures as appropriate.

Each material claim in an account readout is associated with the evidence and source behind it, so the basis for a given data point can be reviewed. See also our Data Sources & Removal page.

Source policy and crawl controls

We seek to collect account-intelligence data only from public or otherwise permitted sources. Where technically available, we review source policies such as robots.txt and may review a website’s terms or privacy pages to determine whether and how a source should be crawled or indexed. We do not intentionally bypass access controls, login walls, paywalls, or technical restrictions.

Observations, not verified truth

Readout records observations from public sources. A source observation does not necessarily mean the observed fact is complete, current, or independently verified — for example, a clinic website may mention a technology that is no longer used, or omit one that is present. Readout provides evidence-backed account intelligence to support sales research, not definitive operational audits.

4How we use information

• To provide, operate, secure, and improve the Site and Service;
• To build, maintain, and update account-intelligence data from the sources above;
• To produce search results, account readouts, and answers you request;
• To manage accounts, credits, billing, and support;
• To detect, prevent, and respond to fraud, abuse, and security incidents;
• To comply with legal obligations and enforce our Terms of Service.

5AI processing

We use third-party artificial-intelligence services — currently Google (Gemini) and OpenAI — to process data and generate results within the Service. We use these providers under terms intended to ensure that:

• Data we send is processed only to produce results for the Service; and
• Data we send is not used to train the providers’ models.

6How we share information

We do not sell Customer Data, and we do not share one customer’s Customer Data with other customers. We share information only as follows:

• Service providers / subprocessors — hosting, infrastructure, analytics, payment, and the AI providers described above, acting on our behalf under contract.
• Account-intelligence data — the shared intelligence database about third-party organizations is made available to customers of the Service as the core product offering.
• Legal and safety — where required by law, legal process, or to protect rights, safety, and the integrity of the Service.
• Business transfers — in connection with a merger, acquisition, financing, or sale of assets, subject to this Policy.

7Your data stays yours

You retain ownership of your Customer Data. You grant us a limited license to host and process it solely to operate and support the Service for you, as described in our Terms of Service.

8Data retention

We retain account and Customer Data for as long as your account is active and as needed to provide the Service, then for the period required to meet legal, tax, accounting, security, and dispute-resolution obligations, after which it is deleted or de-identified. Account-intelligence data is retained and updated as part of maintaining the database, subject to applicable rights and requests described below.

9Security

We use administrative, technical, and organizational measures designed to protect information, including access controls, encryption in transit, and logging. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Enterprise plans may include additional controls such as SSO, role-based access control, and audit logging.

10Your privacy rights

Depending on where you live, you may have rights to access, correct, delete, or port your personal information, to opt out of certain processing, and to appeal a decision. To exercise a right, contact us at devon@readoutdental.com. We will verify your request and respond as required by applicable law. You may use an authorized agent where the law allows.

California (CCPA/CPRA). California residents have the right to know, access, correct, and delete personal information, and to opt out of “sale” or “sharing” of personal information. We do not sell Customer Data. To the extent any processing of personal information in our account-intelligence data is treated as a “sale” or “sharing” under California law, you may opt out as described under “If you appear in our data.”

EU / UK / EEA (GDPR). Where the GDPR or UK GDPR applies, our legal bases for processing include performance of a contract, legitimate interests (operating B2B sales intelligence about businesses and professionals), consent (where required), and compliance with legal obligations. You have rights of access, rectification, erasure, restriction, portability, and objection, and may lodge a complaint with a supervisory authority.

11If you appear in our data

If you are a dental professional or practice owner referenced in our account-intelligence data, you may request to access, correct, suppress, or remove information about you, or ask us not to share or contact, by emailing devon@readoutdental.com. To help us locate the record, please include where possible:

• Your name and role;
• The clinic or practice name;
• A record URL or the clinic name as it appears in Readout;
• The type of request — access, correction, suppression, removal, do-not-sell/share, or do-not-contact.

We will verify and process your request consistent with applicable law and our legal obligations. Some information may be retained where we have a legal basis or obligation to keep it. Plain-language details about our sources and this process are on the Data Sources & Removal page.

12Cookies & analytics

The Site uses Google Analytics 4 only after you choose “Allow analytics.” We use it to understand page views, referral sources, territory-search activity, and whether a visitor starts or successfully submits a sales form. We do not send the contents of free-form searches, contact-form fields, company names, or email addresses to Google Analytics.

Your analytics choice is stored in your browser. Advertising storage and ad-personalization signals are disabled. If you decline, the Google Analytics tag is not loaded. You can clear local storage or site data in your browser to reset your choice.

13International transfers

Allary, Inc. is a Delaware corporation and may process information in the United States, Canada, and other countries. Where we transfer personal data internationally, we use appropriate safeguards (such as Standard Contractual Clauses) where required by law.

14Changes to this Policy

We may update this Policy from time to time. We will post the updated version with a new “Last updated” date and, where required, provide additional notice. Continued use of the Site or Service after an update constitutes acceptance of the revised Policy.
